Meeting Minutes April 9, 2022

Board trustees present: Helena McBride, H.N. Bitter, Frances Bitter, Kathi Warm, and Dennis Leff.
Board meeting called to order by Helena at 9:05 am.
Items discussed
The $200.00 transfer from FCD to CC account in July, 2021 was voted on to consider the transfer to defray the cost of items that were given to FCD 2022 for resale. Majority approved.
IRS papers. There are more than 4 copies of documents. It was agreed that CC only needs 3 copies. Kathi will get the extra ones and give them to Helena for shredding.
Storage for FCD water & soda for FCD 2023. They will be stored in Shafter in a locked room.
It was approved to buy 2 canvas flys and allow $200.00 for items for ladies’ tea for Ft. Clark Days.
Eliminate the infrastructure plan and transfer $2,000.00 from FCD account to CC account. This money would be used to purchase the items for FCD’s and allow for a $500.00 scholarship, a $100.00 donation to the Church Alliance, and a $100.00 donation for KCLS for year 2023.
Grant application from Rio Grande for purchase of a small compactor for recycling.
Community Council Meeting
The meeting was called to order at 9:55 am by Helena. There were 5 members present.
Moment of silence followed by the Pledge of Allegiance.
Secretary’s report- minutes of March 12, 2022 were approved via email and are posted on our website.
Treasurer’s report- March 31,2022 balance in Fort Clark Festival is $9,425.48. March 31, 2022 balance in Community Council is $1, 079.39. Accounts are posted on our website
OLD BUSINESS
FCDs Purchases. Purchase canvas flys for $1,000.00. Allow $200.00 for purchases for ladies’ tea for FCDs.
FCDs Money. Transfer $2,000.00 from Fort Clark Days account.
NEW BUSINESS
Helena gave a presentation about applying for a grant from Rio Grande to purchase a small compacter for recycling.
Ghostly Tours Kathi mentioned that volunteers are needed for Ghostly Tours which is our biggest money maker; and hopefully the Haunted House will be back. Volunteers are needed.
Fort Clark Days Kathi mentioned that all committee chairs are filled. A chairperson is needed to oversee the event. If no one person wants to do it alone, perhaps 2 could co-chair the event. Natanya will help you learn the ropes. Volunteers are still needed. Jacqueline Lewis said she may consider doing it with help from Natanya, but did not commit.
